Simplifying the Film and Event Application Processing

The permit application process behind organising events and films shoots has always been time-consuming. Especially with the administrative functions, permissions, and follow-ups associated with them. But not anymore.

One company identified the need to speed up this process and found the solution by developing an online permit application system to manage the workflow. Enter Apply4Technology.

While it was providing an outsourced film service to local authorities, the team at sister company FilmFixer also identified the need for this streamlined permitting solution, and Apply4Technology began.

They began with FilmApp, and soon after the company developed EventApp. The initiative came about after Apply4 were approached by the London Events Forum, who needed something similar to co-ordinate event productions. With EventApp, city and local authorities can move their permit application processes online simply and inexpensively.

What makes both these solutions stand out is that they are flexible enough to meet the demands of every event. From small street parties to large scale music festivals. “Our systems allow for an ever-changing creative process and dynamic working environment to be translated into a digital roadmap. It just makes it effortless for both applicant and administrator,” explains Karen Everett, CEO, Apply4Technology.

EventApp saves countless hours of administration time and the lengthy processes that the applicant needs to follow. Clients benefit from greater convenience which leave them with more capacity to work on additional events and generate higher revenues. Apply4Technology’s EventApp streamlines every action in the application and approval process so that a permit can be issued, or information shared with just a few clicks.

Each of the event company’s applications is stored in a virtual workroom. From these workrooms messages can be sent, invoices generated, reminders added, and reviewers assigned. Our systems feature built-in calendars, document storage and reporting, along with databases for locations and contacts, adds Everett. Everything in EventApp is organised and designed to make the life of an administrator easier, ensuring nothing is ever missed. That level of clarity makes EventApp a preferred partner for its clients.

One example of the efficiency of these cloud-based solutions is the role Apply4Technology played in large scale festivals. Danny Singh has now moved on to run The Commonwealth Games, but during his time as the Senior Events Officer at Haringey council, EventApp was the event management platform of choice. Hosting the Wireless Festival, with over 135,000 visitors in Finsbury Park since 2014, EventApp was a necessity to manage one of London’s largest annual outdoor gatherings. It has also proved its value to the industry over the years as the go-to solution for upscale events like the Bath Christmas Market, which attracted over 400,0000 visitors, and the Cambridge Beer Festival, Kensington & Chelsea Art Weekend and Skate a Christmas experience in Tunbridge Wells, to name a few.

As the world started to witness the onset of COVID-19 last year, Apply4Technology’s solutions allowed clients easy access to projects from any location, and helped them to move their processes online. With EventApp, meetings that previously needed to take place in person such as those of Safety Advisory Groups could now take place online. This helped with social distancing and the shift towards remote working. Apply4Technology will soon be carrying these capabilities into new territories as it plans to expand into new countries and continents in the coming months (currently they are in the US, UK, Canada and New Zealand.)

The organisation also plans to grow its development team to meet the rising demand for its products. “We have always been at the forefront of permitting software, and this is set to continue as we position ourselves technologically to meet the growing domestic and international need for EventApp (and FilmApp),” concludes Everett.
